Reimbursement Deadline: March 31

March 31, 2019 is an important deadline for four reimbursement programs for expenses incurred during the 2018 calendar year. Please note that, if you are applying for the copayment reimbursement program, you may want to request the relevant supporting documentation from your insurer one month before the deadline to ensure it arrives on time. Please see the details of each program below:

2018 Healthcare Copayment Reimbursement, Deadline: March 31, 2019
The HUCTW Copayment Reimbursement Program helps HUCTW members with their annual medical copayment costs if they reach above certain amounts. If you or your family members spent a significant amount on copayments or prescriptions in calendar year 2018, you may be eligible for reimbursement under this program. You can apply by filling out the copayment reimbursement form and either (1) submitting an Activity Statement from your insurer or (2) submitting receipts as proof of payment.  Please note that, if you use the first method, you may want to request the statement a month in advance of the March 31 deadline from your insurer. 2018 Flexible Spending Account Reimbursement, Deadline: March 31, 2019
In order to be eligible to be reimbursed for 2018 costs under this program, you need to have opened a flexible spending account (FSA) during the November 2017 Open Enrollment for the 2018 calendar year. The FSA program allows staff to set aside money from their paychecks pre-tax in order to pay for healthcare expenses or childcare/dependent care expenses. If you enrolled in an FSA for 2018, you have until March 31, 2019 to submit reimbursement requests for FSA-eligible purchases made between January 1, 2018 and March 15, 2019, using the FSA claim form. 2018 Fitness Reimbursement, Deadline: March 31, 2019
If you belonged to a health club or gym for at least four months during 2018 and are enrolled in either HUGHP or Harvard Pilgrim, you may be eligible for partial reimbursement of your health club membership fees. Both HUGHP and Harvard Pilgrim offer a Fitness Reimbursement Program that will reimburse you for up to $150 in membership fees for qualifying health clubs and gyms. You can apply by submitting your insurer’s Fitness Reimbursement Form. 2018 Bike Commuter Benefit Reimbursement, Deadline: March 31, 2019
Eligible bicycle commuters can receive tax-free reimbursement of up to $20/month at a maximum of $240/year for the costs associated with bicycle purchase, improvement, safety, repair, and storage in 2018 under this program run by CommuterChoice. Please note that you can only be reimbursed for months during which you do not receive a subsidized MBTA pass or University annual parking pass. You can apply by submitting a Bicycle Expense Claim Form, along with photocopied receipts for your 2018 expenses.
